Our Complaints Policy

At Winchester Motor Company & Garland Motors Skoda t/a Winchester Motor Group  we pride ourselves on delivering first class customer satisfaction to all our customers, however we understand that every now and again we unfortunately don’t meet expectations. When this happens the first step to take is to get in contact with a member our team. 

If you have a general complaint:

For complaints relating to non-regulated activities, this is anything concerning the dealership, sales or after sales.

Please contact us directly via email with the details and any supporting evidence.

If you do not have an email account, you can telephone us or send a letter.

If a complaint regarding Finance or Insurance activities cannot be resolved within 8 weeks, you may refer your dispute to the Financial Ombudsman Service. This service is free to use. Their consumer helpline is available on 0800 023 4567 or 0300 123 9123 or you can visit their website at www.financial-ombudsman.org.uk

Data Protection Complaints Process

If you believe we have not complied with data protection legislation in connection with your personal data you have the right to make a complaint to us.

Our complaints process covers the following companies:

- Winchester Motor Company Limited (trading as Petersfield Used Car Centre, South Downs Motorcycles and Winchester Skoda)
- Garland Motors Limited (trading as Solent Used Car Centre and Garland Skoda)

How can you make a data protection complaint?

We hope that we can resolve any query or concern you may raise about our use of your personal data. If you want to complain about how we have used your personal data, please email us at: informationofficer@winchester.skoda.co.uk.

If we are not able to resolve your complaint to your satisfaction, you can complain to the UK’s data protection authority, the Information Commissioner’s Office (ICO). Further information about how to make a complaint to the ICO can be found on the ICO website www.ico.org.uk.

How will we deal with your data protection complaint?

Following receipt of your complaint we will deal with it in accordance with data protection law.

Our process is as follows:

1. Acknowledgment. We will acknowledge receipt of your complaint within 30 days of receiving it. If we receive the complaint electronically, for example via email, then we may use an auto-response to acknowledge receipt.
2. Information request. If we need more information (for example to understand what the complaint is about, to verify your identity or to verify that you have authority to make the complaint on behalf of the third party about whom it relates) we will ask for this as soon as we can. We will only ask for additional information where this is reasonable and proportionate.
3. Other concerns. If your complaint doesn’t relate solely to data protection matters then we will make you aware of how the other aspects of your complaint will be dealt with.  

 

4. Investigate. We will, without undue delay, take appropriate steps to respond to your complaint, including making an appropriate level of enquiries into the subject matter of your complaint to gather information about it.

 

5. Keep you updated. We will, without undue delay, keep you informed and updated on the progress of our investigation. We will usually correspond with you via email, where possible, and ask you to use the above email address for correspondence as required.

 

6. Outcome. We will, without undue delay, inform you of the outcome of your complaint once we have finished our investigation. We will explain what we have done to resolve the complaint or why we consider no action is necessary.

 

7. Our records. We will keep a record of your complaint and any actions we took as a result of it.
